Admin Coordinator/Receptionist

Job Responsibilities

  • Greet visitors; provide front office coverage.
  • Answer and screen telephone calls. Route incoming calls to the designated organizational points of contact.
  • Monitor and track office supply needs and keep Office Administrator updated on missing items.
  • Monitor and coordinate maintenance of general office equipment at National Office. Make sure copiers are filled with paper and ready for use.
  • Prepare and circulate general correspondence, e-mail messages for general announcements.
  • Provide administrative support to Finance, HR (filter resumes) and provide support to the Development team during numerous campaigns.
  • Coordinate and schedule corporate meetings, corporate functions and provide necessary support. Schedules and meetings, events, interviews, appointments, and/or other similar activities.
  • Process Mail -Sort, screen, review, and distribute incoming and outgoing mail; route to correct individuals; compose, prepare, or ensure timely responses to a variety of routine written inquiries. Assist with Postal mail requests including UPS.
  • Establishes, maintains, and updates files, databases, records, and/or other documents; develops and maintains data, and performs routine analyses and calculations in the processing of data for recurring internal reports.
  • Process Fulfilment orders. Restock store items to ensure all orders can be handled in a timely manner.
  • Assist with processing orders for the on-line store.
  • Complete year end stock room inventory.
  • Performs miscellaneous job-related duties as assigned.


  • Associate Degree or equivalent
  • 3 -4 years of office experience
  • Excellent phone skills to include screening and fielding incoming calls
  • Strong organizational skills. Ability to multitask during busy season
  • Experience with multi-line phone systems
  • Self-Starter with a “can do” attitude
  • Intermediate knowledge of MS Office Suite


Salary: $36,000 a yr.
